Workflow

 

 

In municipalities, the workflow of every action starts with registration of request and then passing the request to the responsible people in that department. Again it will be registered and passed to the next department. In this way the experts in different departments are not in touch with each other and it speed down the activities in operations. The problems with this method in workflows can be categorized as follows:

 

  • Normally the transfere time of files and request is much longer than the action time by experts or managers.
  • In most of the cases the presence of the requester is essential and otherwise no action will be done by responsible departments
  • Because there are some special staff just to refer and guide the request to the next step, the process becomes lengthy and causes two big stops at least in each department. one for taking an actoin after a long delay for file transfere and another stop is determining the next step.
  • Because of now clear workflow, peoples are always wondering and seeking help for the next step
  • There is no possibility for the managers to monitor peoples activities. It causes long delays for many requests that might be stopped on purpose or just being forgotten by the responsible staff
